What to Include in an IIESMS CPD Record

A CPD record should make professional development easy to understand and easy to verify. It does not need to be complicated, but it should show what you did, why it was relevant, how much time was involved, what you learned and what evidence is available.
IIESMS members above Student grade should maintain CPD records appropriate to their grade. The main Continuing Professional Development page explains the grade expectations, including the balance between formal and informal learning.
What each CPD entry should include
A useful CPD entry should give enough information for the member and the Institute to understand the activity later. The record should be short, factual and linked to the member's role or professional development needs.
- Date of the activity.
- Title or description of the activity.
- Provider, organiser, employer, sector group or source.
- CPD type, such as formal learning, informal learning, professional reading, mentoring, committee activity or project-based learning.
- Hours or time spent.
- Relevant sector or competence area.
- Learning outcome or short reflection.
- Evidence held, such as attendance certificate, agenda, notes, slides, reading list, meeting record or project record.
Formal and informal CPD
Formal CPD usually has a structured format, defined topic and clear learning purpose. Examples include courses, seminars, webinars, conferences, assessed learning, professional examinations or structured workplace training.
Informal CPD may include professional reading, mentoring, committee work, project learning, preparing a presentation, reviewing standards, or learning through a workplace activity. Informal CPD is still useful when the member records what was learned and why it matters.
Evidence to keep
Members should keep evidence that is proportionate to the activity. A certificate may be available for a formal course, but a short note, agenda, reading reference or project record may be enough for informal learning.
- For events: keep the agenda, attendance confirmation, certificate or booking record.
- For webinars: keep registration confirmation, slides, notes or a completion record.
- For professional reading: record the publication, date, topic and learning point.
- For committee activity: record the meeting date, topic, contribution and professional learning.
- For project learning: record the project context, new knowledge gained and how it affected practice.
Write a short reflection
A reflection does not need to be long. One or two sentences is often enough. The most useful reflections explain what changed in the member's knowledge, awareness, judgement or practice.
For example, instead of writing only "attended webinar", a stronger CPD record might say: "Reviewed changes relevant to emergency planning and identified two points to check against current workplace procedures."
Link CPD to your grade and sector
CPD should be relevant to the member's grade, sector and professional responsibilities. A member in fire safety may record learning on fire risk assessment, emergency planning or fire safety systems. A facilities management member may record learning on maintenance, compliance, building services, energy management or contractor control.

Keep the record current
The best CPD records are updated throughout the year. Leaving the record until the end of the cycle makes it harder to remember learning outcomes and locate evidence. A simple spreadsheet, document or professional log can work if it records the required information clearly.
